Notebooks

Notebooks are how you organize your notes into groups. They work like folders: you create a notebook for each topic, project or context and keep the related notes inside it. You switch notebooks through the selector at the top of the Notes sidebar, and manage all of them — colors, icons, lock, sharing — on the "My notebooks" page. This page shows how to select, create, customize and move notes between notebooks.

What notebooks are

A notebook is a grouping of notes — think of it as a folder. Instead of leaving every note in a single list, you spread them across notebooks by topic, project or area of life, making your base easier to navigate.

  • A note belongs to one notebook at a time; moving the note to another notebook removes it from the previous one.
  • Notes that don't belong to any notebook live in the "Inbox", a built-in notebook that gathers everything not yet filed.
  • Selecting a notebook turns it into the scope of the whole module: the list, the search and the other views show only what is inside it.

The notebook selector

At the top of the Notes sidebar sits the notebook selector. It shows the current scope — "All notebooks" or one specific notebook, with its cover, icon and note count — and opens a list to switch.

  1. 1Click the selector at the top of the sidebar.
  2. 2Pick "All notebooks" to see the whole collection, or one notebook (or the "Inbox") to work only inside it.
  3. 3The selection sticks while you navigate: favorites, graph, table, files and trash all show only the selected notebook.
With a notebook selected, the search also runs only inside it. Switch back to "All notebooks" to search your entire base.
The selection is part of the address (the ?nb= parameter in the URL), so you can bookmark or share a link that opens straight into a notebook.

Create a notebook

  1. 1Open the notebook selector and click "Add notebook" — or use the same button on the "My notebooks" page.
  2. 2Give the notebook a name — something that identifies the topic or project.
  3. 3Optionally choose a color and an icon (or emoji) for the cover.
  4. 4Confirm: the notebook appears in the selector and is ready to receive notes.

The "My notebooks" page

The first item in the sidebar, "My notebooks", opens the management page: a shelf where each notebook is a physical book with its cover color, icon and note count. From each book's menu you can:

Edit properties
Rename the notebook and change its color and icon.
Lock notebook / Unlock notebook
Protect the notebook with the Vault: its notes are encrypted and only readable after unlocking.
Share with team / Stop sharing
Make the notebook visible to your team (available to the notebook's owner, on team accounts).
Remove notebook
Delete the notebook, after a confirmation that tells you how many notes it holds.
The "Inbox" is a built-in notebook: it holds the notes that have no notebook and cannot be edited, locked or removed.

Customize a notebook

Name
The notebook's title, shown in the selector and on the shelf. It can be renamed whenever you like.
Color
The cover color, which also marks the notebook's notes with a small dot in the list.
Icon
An emoji or icon shown on the cover, for quick identification.

Move notes into a notebook

  1. 1Open the note's context menu (right-click on it in the list) and choose "Move to notebook".
  2. 2Select the target notebook in the dialog — the current one is marked.
  3. 3To move several notes at once, select them first and use the move action in the selection bar; the same "Move to notebook" option appears in the context menu with the selection count.

Note count

The selector and each book on the shelf show how many notes the notebook holds. In the notes list, each note shows the notebook it belongs to as a small chip (with the full list density), so you always know where a note is filed.

Locked notebook

A notebook can be locked to protect its content. When that happens, all notes inside it are encrypted, stay out of search results, and can only be read after unlocking the Vault. A padlock marks the notebook in the selector and on the shelf.

Locking is a security feature: it encrypts the content of the notebook's notes. See all the details on the "Locked notes and Vault" page.
