Calendars and sharing

You are not limited to a single calendar. Create as many as you like — one for work, one for personal life, one for a project — each with its own color, and turn each one on or off to focus on what matters right now. When you work with a team, you can share a calendar so everyone sees the same appointments. This page covers creating, showing, hiding, and sharing calendars, plus the "Projects" switch that controls what the Tasks module shows here.

Your calendars live in the sidebar, under "My calendars". Each one has a name and a color, and every appointment belongs to one calendar — the calendar sets the color the appointment appears in across the Day, Week, Month, Year, and List views. The "Main" calendar is always there and cannot be deleted, so you always have at least one.

Multiple calendars

Keeping separate calendars lets you group appointments by area and switch context with a single click. Create a new calendar whenever you want a fresh color and a clean list.

  1. 1In the sidebar, find the "My calendars" section.
  2. 2Click the plus button next to the section title.
  3. 3Type a name for the calendar and confirm.
  4. 4The calendar appears in the list with a color assigned automatically.

Name, color, and default

Open a calendar's options menu — the "…" button that appears when you hover over it, or simply right-click the calendar — to adjust it:

Color
Pick one of the twelve palette colors. Every appointment in that calendar takes on this color.
Rename calendar
Change the calendar's name at any time.
Set as default
New appointments start being created in this calendar unless you choose another. The current default carries a small "Default" badge in the list.

Show and hide

You control which calendars are visible without deleting anything. Hiding a calendar simply removes its appointments from view; they come back the moment you show it again.

  • Click the colored box next to a calendar to toggle it on or off. A filled box with a check mark means it is showing; an empty box means it is hidden.
  • Use "Show only this" in the options menu to hide every other calendar at once and focus on a single one.
  • The options menu also offers "Hide calendar" / "Show calendar" for the same toggle.
Hiding a calendar only affects what you see, and only on this device — it never deletes appointments and never changes anything for other people.

Share a calendar

If you work in a team, you can share one of your calendars so its appointments are available to the other members. Sharing makes the whole calendar — and the appointments in it — visible to your team; it is a single on/off choice, not a set of per-person permission levels.

  1. 1Open the options menu of the calendar you want to share.
  2. 2Choose "Share with team".
  3. 3A people icon appears next to the calendar, indicating it is now shared.
  4. 4To reverse it later, open the menu again and choose "Stop sharing".
Sharing needs a team (and an active subscription). If you don't have one yet, create it first in the Team section, then come back and share the calendar.
You can only share calendars you own. Calendars that teammates shared with you show up in "My calendars" automatically and can be shown or hidden like any other, but not re-shared.

Projects from the Tasks module

Below your calendars, a "Projects" entry controls what the Tasks module displays on the calendar — due tasks and project deadlines. It is a visibility switch, not a calendar: you cannot rename or share it.

  • Click the checkbox next to "Projects" to show or hide all projects at once.
  • Click the entry itself to open a list of your active projects and toggle each one individually.
  • Hiding a project removes its tasks and its deadline flag from every calendar view.

Delete a calendar

When a calendar is no longer useful, remove it from the options menu. You will be asked to confirm, because this action cannot be undone.

  2. 2Choose "Delete calendar".
  3. 3Confirm in the dialog that appears.
Deleting a calendar does not delete the appointments inside it — they are moved to your default calendar. The "Main" calendar itself cannot be deleted.
