Projects and lists
A project is a board, and its lists are the columns that shape your workflow — you build them yourself. This page shows how to create projects, group them into collections, manage lists (color, sorting, WIP limit and more), capture loose tasks in the Inbox, and move or copy a card between projects and the Inbox. Card details and the different views have their own pages.
Each project is an independent space with its own lists, labels, phases and cards. On the Board, the lists (columns) group the cards, and every list maps to a status (To do, Doing or Done) — so moving a card between columns changes its status.
Projects
Create one project per area of work. A new board starts empty on purpose: there are no preset columns — you add the lists that match your workflow (or start from a template, which comes with lists ready).
- 1Open the Tasks module from the rail.
- 2Right-click the sidebar (or use the Overview) and choose "New project"; in the Overview you can also pick a color and create it as personal, professional or team-shared.
- 3The board opens empty — click "Add list" to create your first columns.
- 4Click the project name in the header to rename it at any time.
- 5Open "Project properties" (the sliders button in the toolbar) to set the accent color, a card background (color, gradient or image), a target date, the project phases and allocated contacts, and to share it.
The Overview (the "Overview" entry at the top of the sidebar) lists your projects grouped as Personal projects, Professional, Shared and Archived, each with its progress — it is also where templates and "Create with AI" live.
Collections
Collections are sidebar folders that group projects — the same concept you find in Drawing and Bases.
- 1Click the folder button in the sidebar header (or right-click the sidebar) and choose "New collection".
- 2Right-click a project and use "Move to collection" to file it; "No collection" moves it back out.
- 3Click a collection header to collapse or expand it; right-click the header to rename, share with your team or delete it.
Lists
Lists are the board's columns. Add as many as your workflow needs and arrange them left to right in the order work flows.
- 1On the board, go to the right edge and click "Add list"; type a name and confirm.
- 2Click a list name to rename it (Enter confirms, Esc cancels).
- 3In the list "…" menu, pick "List color" — the color tints the whole column.
- 4Drag a list header to reorder columns (or use the move left/right entries in the menu).
- 5Use the collapse button on the header to shrink a column into a thin vertical bar.
The list "…" menu also offers per-column power tools:
- Sort cards
- Reorders the column by due date, priority, title or creation date.
- Move all cards
- Sends every card of this list to another list.
- Card limit (WIP)
- Sets a work-in-progress limit; the counter turns red when the column exceeds it.
- Archive all cards
- Archives everything in the column at once.
- Duplicate list
- Copies the list with all its cards.
- Delete list
- Removes the column. Its cards are not deleted — they fall back to a column matching their status, or to a "No list" group in the List view.
The Inbox
The Inbox is the quick place to capture ideas and loose tasks without picking a project yet. Items there have no project and no list — they are simply waiting to be organized.
- 1Inside a project, click the Inbox button in the toolbar (it shows how many ideas are waiting) — it opens as a second sidebar.
- 2Type an idea in the quick field and press Enter; natural language works here too.
- 3When you are ready, drag the idea onto a board column, or onto a project in the sidebar, to file it.
Move and copy
Cards are not stuck where they were created:
- Drag a card onto another project in the sidebar to move it there; it lands in the column matching its status (or the first column).
- Right-click a card and use "Move to project" to pick the destination — including the Inbox.
- The card "…" menu offers "Move to inbox" (send it back as a loose idea), "Copy to inbox" (duplicate title, notes, checklist and priority as a fresh idea) and "Duplicate card" (full copy in the same list).
