Organize the library

As your library grows, a flat list stops being enough. This page shows how to keep references tidy: gather them into collections (and share those with your team), add your own tags, star what matters most, filter and search the list to find any work fast, export the view you're looking at, clean up duplicates — and recover anything you removed, because deletions go through the module's Trash.

Collections

Collections are groups for organizing references by project, theme, subject or whatever makes sense to you. A reference can belong to several collections at once, and a collection you own can be shared with your team — shared ones show a small team badge in the sidebar.

  1. 1In the References sidebar, next to the Collections heading, click the plus button (or the Create collection button under the list).
  2. 2Type a name and press Enter — Esc cancels.
  3. 3Assign a reference by dragging its row onto a collection in the sidebar; a toast confirms "Added to …".
  4. 4Or select the reference and, in its info panel under Collections, open Manage and tick every collection it belongs to.
  5. 5Click a collection's name in the sidebar to see just that collection.

Right-click a collection (or long-press on touch) for its actions: Rename, Share with team / Stop sharing, Export as BibTeX (.bib) or RIS (.ris), and Delete collection.

Deleting a collection never deletes the references inside — they simply stop belonging to it. To empty a collection without losing the works, just untick them in Manage.

Tags and favorites

Tags and favorites are two lightweight ways to mark references across collections. Tags are your own labels, written your way and kept separate from the work's own keywords: the keywords come from the publication, while tags are how you classify it (for example, "to read" or "methodology"). The star marks a reference as a favorite so you can pull it up in one click.

  1. 1Open a reference and use Edit to fill in the Tags field (comma-separated); they appear as #tags in the info panel, next to the work's keywords.
  2. 2Click the star on a row, or in the info panel, to mark or unmark a reference as a favorite.
  3. 3Click Favorites in the sidebar to see only starred works.

Filter and search the library

The sidebar filters the list by scope, and the search box filters by content — the two combine, so you can search inside a single collection. Press / anywhere in the module to jump into the search box.

  1. 1In the sidebar, click All references to see everything, Favorites for starred works, or a collection name for just that collection.
  2. 2Type in the search box to filter by title, author or source (journal or book).
  3. 3Clear the search box to widen the list again; the count next to the heading shows how many references match.
  4. 4Move through the results with ↑/↓, press Enter to edit the selected one, or right-click a row for its quick actions.

Export the current view

The Export button above the list downloads exactly what you're looking at — the current filter plus search — with Export as BibTeX (.bib) or RIS (.ris). A single collection can also be exported straight from its right-click menu. For whole-library import and export, see "Import and export".

Find and merge duplicates

The Duplicates view scans the library and groups entries that look like the same work (same title), so you can collapse each group down to a single, most complete reference. The sidebar shows a badge with the current count.

  1. 1Open Duplicates from the sidebar; each card is a group of entries that appear to be the same work.
  2. 2Within a group, the entry marked Suggested is the most complete one — the scoring favors entries with a DOI, an abstract and a favorite star.
  3. 3Click Keep this on the entry you want; after you confirm, the other entries in that group are removed.
  4. 4Or use the Remove … duplicates button at the top to keep the suggested entry of every group at once.
Nothing here is destructive: entries removed while resolving duplicates go to the Trash like any other deletion, so a wrong pick can be undone. Duplicates are normal after imports — see "Import and export".

Trash

Deleting a reference — from the row, the info panel, the Delete key or the Duplicates view — moves it to the Trash, with an Undo action right in the confirmation toast. The Trash view in the sidebar lists everything removed, with its deletion date.

  1. 1Open Trash in the sidebar to review removed references.
  2. 2Click Restore to bring one back to the library, exactly as it was.
  3. 3Click Delete forever to remove one permanently (asks for confirmation).
  4. 4Use Empty trash in the header to permanently delete everything at once (also confirmed first).
Edits, deletions and collection changes are queued while you're offline and sent when the connection returns — the trash badge and counts stay honest about what's still pending.
